Richness of PolicyMatter Management Info boosts efficiencies and cuts regulatory risk
Management information needed to keep auditors satisfied or understand potential business risks can now be retrieved in seconds, not weeks as with traditional policy communication methods.
PolicyMatter Ltd, the market leading policy management software house, today called for a change in the way enterprises viewed fundamental aspects of compliance, risk and governance. In particular it stressed the need for senior management to have business-critical information at their fingertips on employee awareness of key procedures, policies and processes.
A key part of PolicyMatter is the detailed management information and reporting it provides. For all documents it publishes, it automatically allows policy administrators to run audit trails on when documents were created or published, to whom they were presented and what degree of agreement and understanding was achieved. Information can be captured in multiple forms, including policy audit trails on individual employees, trend data as a historical graph, graphs showing current awareness and agreement, and comparisons between departments in terms of user sign-up.
“Customers are seeing benefits in multiple ways,” said Managing Director Chris Heslop. “There are tactical regulatory requirements that have to be met. These could be proving to the auditor that the company has met its compliance obligations in securing agreement from specific departments to key procedures for, say, TCF or Anti-Money Laundering. However what we’re also seeing is customers using PolicyMatter’s data analysis for real business benefits: pinpointing the procedures that are least well understood, or risk assessment based on employee surveys. Using traditional policy communication methods like Intranets, email or handbooks, it would have taken weeks to access this information. With PolicyMatter it takes seconds.”
Extensive management information in the form of on screen Quick Reports, customised ‘My Reports’, or automatically scheduled and communicated reports are supplied as standard in PolicyMatter Version 3.5.
