Leading law firm implements PolicyMatter to demonstrate rigorous compliance and reduce overall cost of policy management

Leading UK law firm Morgan Cole has transformed its ability to secure company-wide understanding and acceptance of key policies, boosting its adherence to corporate governance requirements while cutting the associated costs.

Having implemented the PolicyMatter policy management solution, Morgan Cole can now ensure staff understand and adhere to the organisation’s operational policies and directives using less than a sixteenth of the effort previously required to do this. In addition, from an external perspective, PolicyMatter has allowed Morgan Cole to send a positive message to its current and prospective clients and is assisting the Firm in its goal to achieve the Lexcel Quality Standard.

“Nationally, Morgan Cole has an excellent reputation in advising on corporate governance,” said Jeff Wright, partner and I&T Director at Morgan Cole. “However, to really ‘practice what we preach’, we needed to be able to effectively manage our own policies across the organisation, to demonstrate that staff not only sign up to them, but also that they fully understand them.”

By presenting staff with key documents like the ‘IT Systems Acceptable Use Policy’ at login, testing their understanding on key policies and then re-presenting them to those employees who fail to reach the required pass mark, within five weeks Morgan Cole was able to demonstrate that 98% of staff was wholly up to date on policies. The remaining 2% were unavailable for understandable reasons such as maternity leave.

Wright continued, “Previously, when we relied on chasing staff up by phone and email to ensure the return of signed policies (as evidence of acceptance), the process typically ground to a halt after six months, with an absolute maximum of 30% of staff signed up. Getting the near 100% sign-up we’ve achieved with PolicyMatter would have meant no end of additional work – something, we calculated, like sixteen times the effort. Additionally we have the added bonus of knowing that everyone has understood the policies too. That was simply unachievable previously”
