Presentation and Agreement
You determine the most appropriate way for policies to be presented to staff at the desktop, with all communications logged and audited. Typical approaches:
- At login, if a user is identified as not 'up to date' with a policy - new starters, new or amended policies, role changes, a policy marked for automatic re-presentation, say, every 12 months
- Via a controlled email link to policies requiring attention. Failure to agree within set timescales triggers automatic reminders, but only to those staff with policies requiring attention
- Linking to applications e.g. an attempt to launch an application triggers the presentation of policies
- For users without PC access, a facility to generate paper policies containing employee-specific 2D barcodes which can subsequently be scanned into PolicyMatter
Flexible controls make policy communication via Policymatter a rich and powerful experience that is effective for policy owners and gives clarity to employees in equal measures:
- A combination of policy types - 'Requires your agreement' with unavoidable deadlines and mandatory agreement, 'For Information Purposes', 'Requires your Attention'
- Easy 2-click access for staff from bookmark or Desktop icon to their own 'My Library', a store of all the policies relevant to them
- The ability to prioritize policies in tiered Timescales for agreement
- If required, obligatory agreement within set timescales
- Atomatic 'highlighted' presentation of amended clauses
- Branding to the corporate identity
- Optional consultation facilities, requesting feedback or approval
- Concurrency thresholds i.e. the ability to limit the number of people presented with policy at any one time
- Provisions for staff on vacation or on extended leave
- 'Search' facility to locate policies
